A catering event brief is a short description of the meal you want to plan. It gives a caterer the details needed to discuss your request and prepare a proposal. For an event in Palm Springs or the Coachella Valley, include the property and access details as well as the menu you have in mind.
You can send a useful first brief while some decisions are still open. Label estimates and unanswered questions clearly so they are not mistaken for confirmed plans.
A catering brief you can fill in
- Event and occasion: What are you hosting, and what should the meal feel like?
- Date and location: Give the event date, property or venue, and relevant address details.
- Guest count: State your current estimate and whether attendance is still changing.
- Meal timing: Include the desired serving time and any fixed activities before or afterward.
- Preferred menu: Name a menu or dishes you like and list the changes you would like to discuss.
- Dietary requests: Identify requirements that need confirmation separately from general preferences.
- Service needs: Describe the help you want with setup, serving, clearing, and cleanup.
- Property access: Note kitchen facilities, entry or unloading arrangements, and when access is available.
- Venue restrictions: Share any permission, guest, parking, or outdoor-use questions that need resolving.
- Tableware and rentals: List what is available and what still needs arranging.
- Budget: Share the budget you are working toward and which costs it needs to cover.
- Main contact: Name the person coordinating the details and approving the proposal.
Keep estimates separate from commitments
Use your best current guest-count estimate rather than automatically adding a percentage. Ask when the count needs to be confirmed and how later changes affect the proposal. If you need more than one meal, give the expected attendance for each.
For dietary requests, ask what can be accommodated and discuss limitations before booking. A request in the brief still needs a response from the caterer. Precautions cannot be treated as a guarantee of zero cross-contact.
Check the service details
Desert Dine’s family-style and buffet service includes serving platters and serving utensils. Guest plates and cutlery are separate items to confirm, and rentals are separate. Record who will supply anything additional and ask that staffing, setup, and cleanup responsibilities be addressed in the proposal.
The brief is your starting request. Review the written proposal and booking terms for the actual agreed scope, pricing, and change arrangements. When a detail changes, send one updated version and ask for confirmation of any effect on the plan.
